Chapter Challenges

All Chapters have Bylaws which are updated regularly, as required by SHRM. But do you have documented processes and procedures for your Chapter?

This year the Board of HRMA of SWFL set the goal of creating both a “To Do” calendar and a document with the processes and procedures that keep the Chapter running. The current Board saw this as critical documentation so that incoming Boards would understand the rationale behind decisions made and so that they would be consistent with those goals. Included on the calendar are:

  • All Board, Chapter, and State Council meetings
  • Deadlines for updating banking, cd, and tax information
  • Scheduling a review of D & O Insurance, Bylaws, and the Processes and Procedures
  • Preparing the SHAPE report as well as Excellence Award submission
  • Awarding of scholarships and HR Professional of the Year nominations
  • SHRM Foundation and philanthropic donations

A committee was formed to review previous Board Minutes to “pull out” all the procedures which had been approved over the years. The Committee then broke this into appropriate categories. This process resulted in discussion and careful consideration of how the Chapter should be run. This may vary by Chapter; examples from our document are include: Banking and Finance, D & O Insurance, Meetings, Membership, Elections/Nominations Procedures, Succession Planning, Non-Solicitation of Members, SHRM Certification Study Group, Community Organization, Travel/Expense Reimbursement, Tri-County Conference, and, Scholarships.

The Board has found both the creation process and the ease of having all this at our finger tips to be very beneficial. Perhaps this is a goal you may want to set with your 2012 Board.
